Privacy policy

This policy explains how DRINK VAN LTD uses the information you give us through this website, including when you send an enquiry.

Who we are

DRINK VAN LTD, trading as drink., is the controller of the personal information described in this policy. Our company number is 17483054 and our registered office is 7 Garnet Court, Park Street, Weymouth, England, DT4 7DZ.

For privacy questions or to exercise your rights, email [email protected].

What we collect

When you send an enquiry, we collect the name and email address you provide, together with the occasion, location, date and event details you choose to share. Giving us this information is voluntary, but we cannot reply to you without a name and email address. Please do not include sensitive personal information that is not needed for your enquiry.

Like most websites, our servers and hosting provider automatically handle your IP address and basic technical details (such as the pages requested and the time) when you visit. We also use your IP address briefly, held in temporary memory for around ten minutes, to limit how many enquiries can be sent in a short period. We do not use it to identify or profile you.

Cookies

This website does not use cookies, analytics or advertising trackers, and it does not set anything on your device that needs your consent. If that changes, we will update this policy and ask for your consent first.

Why we use it

We use enquiry information to respond to you, assess whether we can help with your event, prepare for a possible booking, and keep a record of our conversation. Our lawful basis is taking steps at your request before entering into a contract and, where needed, our legitimate interests in running and protecting our business. We rely on legitimate interests for keeping the website secure and preventing spam and abuse, including the IP address handling described above. Where we keep booking records, we also rely on our legal obligation to keep accounting records.

We do not make decisions about you using automated processing or profiling.

We do not use enquiry information for marketing unless you choose to hear from us separately.

Who we share it with

We use a small number of service providers who handle information on our behalf and only on our instructions:

  • Resend, our email delivery provider, which processes the information needed to deliver your enquiry to us.
  • Google (Google Workspace), our email provider, where enquiries and our replies are stored in our mailbox.
  • Railway, which hosts this website on servers in the Netherlands and handles the technical data described above.

We may also share information where the law requires it, or with our professional advisers (such as accountants). We do not sell your personal information.

Transfers outside the UK

Our hosting is in the Netherlands, which the UK recognises as providing adequate protection. Resend and Google may process information in other countries, including the United States. Where they do, we rely on the safeguards they provide under UK data protection law, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum to standard contractual clauses, so your information stays protected to a UK standard.

How long we keep it

If an enquiry does not lead to a booking, we delete it, including our email replies, after 12 months. If it does lead to a booking, we keep the booking records for 6 years to meet tax and accounting requirements. We may keep information for longer if needed to resolve a dispute or comply with the law. Technical logs and the temporary rate-limiting data described above are kept for a short period only, and the rate-limiting data is cleared automatically.

Your rights

You can ask us to access, correct or erase your personal information, or to restrict or object to how we use it. In some circumstances, you can also ask us to provide a copy in a portable format. Email us to make a request. We will respond within one month.

If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office.

Changes to this policy

We may update this policy when our website or the way we handle information changes. The latest version will always be published here.
